Employees can submit absence requests directly through the platform. The process is simple and structured to give full transparency into the request status.
Standard Flow
Open the Absence Request Form
Choose the absence type (e.g., vacation, sick leave, personal day), select dates, add a note (optional), and submit.
Await Approval
The request enters the approval workflow, and the employee can track its progress.
Possible Scenarios
✅ Request Approved
Once all approvers review and approve the request, the absence is marked as approved. The employee will receive a notification and see the absence in their calendar.
❌ Request Declined
If any approver declines the request, the employee is notified with a reason (if provided). The request will not be active in the calendar and must be resubmitted if needed.
🔁 Employee Cancels Request Before Decision
Employees can cancel a pending request anytime before it is approved or declined. The request is withdrawn from the workflow and removed from the calendar preview.
🔙 Employee Recalls Approved Absence Before Start Date
If an absence has been approved but hasn't started yet, the employee may choose to recall it. This action removes the absence from the calendar and notifies the approval chain.
🕒 HR or Manager Recalls Absence Mid-Period
If an absence is active (the time off has started), HR or a manager can recall it—due to operational needs or other circumstances. The employee is notified and the absence is ended early in the system.
🔄 Employee Recalls Absence Mid-Period (Returns to Work)
Employees who begin their time off but need to return early can also recall their own absence. This updates their calendar and re-enables access to work-related tools (depending on company policy).
